Office Manager & Trilingual Executive assistant

We’re looking for a highly organised and reliable office manager to support our CEO and management team as an executive assistant. You’ll be running our head office located in beautiful Barcelona. Do you want to be known for your welcoming smile and enthusiastic attitude? We want to hear from you!
- Welcome visitors, handle all incoming and outgoing correspondence, coordinate meetings and book conference rooms, prepare/distribute mail, liaise with vendors/building management, and update/maintain documents on cloud based filing system.
- Act as office manager handling general questions, issues and requests, including managing office supplies and equipment.
- Establish and manage third party and vendor relationships, including schedules and contracts.
- Provide administrative support to the CEO and management team including travel arrangements, diary management and expense recording.
- Assist Head of Finance with some accounting related tasks as required.
- Support HR with new employee on-boarding, policy implementation and compliance.
- Plan/coordinate all company-wide meeting and events.
Requirements
Technical skills:
- Minimum 8 years’ experience as a personal or executive assistant in an international environment.
- Relevant administrative and accounting experience (accounts payables, accounts receivables, expenses, invoicing customers).
Team member profile
- We need someone who is highly organized and detail oriented, willing and able to manage competing demands and urgent requests with little to no guidance or advance notice.
- Self-sufficient, showing initiative and taking ownership of assigned tasks.
- Experience with handling sensitive/confidential materials and situations.
- Strong communication skills, sensitive to different cultures, personalities and seniority
- Fluent/native English required. 1 to 2 other fluently spoken language would be a plus
- Familiar with Slack, Google calendar, Trello. Gmail/calendars, QuickBooks or Sage.
- Able to quickly learn new programs/technologies to maximize company productivity and performance
- Occasional requirements to work evenings or weekends to support the global business
